1. Purpose
This policy provides a channel for beneficiaries, donors, trainers, volunteers, and the public to report complaints, operational feedback, or violations of trust conduct. We ensure every submission is reviewed with confidentiality and fairness.
2. Grievance Review Process
- Submission: Reports can be filed online (Grievance Form on volunteer.php) or emailed to humbleheartsvadodara@gmail.com. Anonymous filings are permitted.
- Initial Assessment: Grievance Coordinator reviews within 5 working days to confirm scope.
- Investigation: The Safeguarding & Grievance Committee carries out audits, candidate interviews, or home visits to compile facts.
- Resolution: A formal outcome report is presented to the Board of Trustees, and corrective actions (warnings, termination of trainer, reporting to local police) are initiated.
3. Whistleblower Protection
We strictly prohibit retaliation, harassment, or negative treatment of any volunteer, student, or staff member who reports a suspected violation in good faith. False reporting with malicious intent will result in program exclusion.
